Create or Update An Email Signature in Microsoft Outlook 2010

Step 1 –

Click “File“, then click “Options” in the left-hand menu.

Step 2 –

Select “Mail” from the list of options, then click “Signatures“.

Step 3 –

Here you can edit or replace the existing signature with a new one; alternatively click ‘New’ to create one from scratch.

Saving your email signature in Outlook 2010

In the top-right corner of the signatures box, you will be able to select default signatures and whether to include signatures automatically on replies. Once you are done, click “OK” and your changes will be saved.

 

iphone/ipad IMAP – Message could not be moved to the mailbox Trash – Bug Fix

If you have set up IMAP on your iphone but find you cannot delete your emails and you’re getting a little pop up window saying, ‘Unable to move message. The message could not be moved to the mailbox Trash’ then here’s a fix.

Follow the instructions below:

1. Tap ‘Settings’ (grey gear wheel)
2. Tap on your email account (yourdomain.co.uk), then again on the next screen
3. Click ‘Advanced’
4. Scroll down to ‘IMAP Path Prefix /’ tap on this and enter the word INBOX (in capitals)
5. Click ‘Account’ at the top and click ‘Done’

Close down the app and open up your email account, you should now be able to delete your emails.

Add an email signature to your iphone email app

To include a simple text signature:

  1. Click the ‘Settings’ App (grey gearwheel), then go to ‘Mail, Contacts, Calendars’, then to ‘Signatures’.
  2. Simply type in or paste your signature in the box. Job done!
  3.  Send an email out to another email address of yours to check the display.

To include an html signature (including an image/logo):

  1. First, send yourself an email which you can open up on your iphone that includes your graphic email signature.
  2. Open this email up on your iphone, tap and hold your finger on some part of the email body that is not a link. When the iOS select box appears, drag the little blue markers at the end to highlight/surround your signature as best as possible. When highlighted, tap the ‘Copy’ button to copy your signatures to your iOS Clipboard.
  3. Click the ‘Settings’ App (grey gearwheel), then go to ‘Mail, Contacts, Calendars’, then to ‘Signatures’.
  4. Tap twice in the empty box and select ‘Paste’ from the popup menu.
  5. If your signature looks distorted at this point, it may be that your device has applied special formatting .  You can remove this by shaking your device until the ‘Undo Change Attributes’ box appears – select ‘undo’ from the pop up window and your signature should now display nicely.
  6. Go back to your Mail app and try sending an email from the account that you installed the signature on. It should now work as expected.

Run your Domain email through Gmail

You may find it more convenient to have your emails in one place.

To run your domain email through Gmail you need to apply the following settings:

1. Open up Gmail and click the settings gear wheel ‘top right’
2. Choose ‘Accounts and Imports’ from the top tab
3. Click ‘Add a POP3 mail account that you own’ from the ‘Check email from other accounts (using POP3):’ option (4rd down)
4. Enter your domain Email Address in the pop up window e.g enquiries@yourdomain.co.uk
and click ‘next step’ and enter the following settings:

Username: enquiries@yourdomain.co.uk
Password: ********
pop server: pop3@yourdomain.co.uk Port 110

you can skip the checkboxes. Click ‘Add Account’, click yes or no to save password – your choice
The first checkbox should be ticked (yes I want to be able to send mail as…) > Next Step > Enter the name you wish to be displayed eg. ‘Your company’, untick the alias box > Next Step and enter the following settings:

SMTP Server: smtp.yourdomain.co.uk Port 587
Username: enquiries@yourdomain.co.uk
Password: ********

Secured connection using TLS > Add account

5. Gmail will then send you a verification email to your domain account with a code, copy this and paste into the verify box

Your gmail will now import your domain emails.

You will also see when you now click ‘Compose’ within Gmail, you have the option to send your mail via your default gmail address or your domain email address via a dropdown.

Back up Emails via Windows Live Mail

Backing up your email data via Windows Live Mail takes just a couple of minutes.

You may like to empty your spam and deleted folder from your Windows Live Mail and get rid of anything you don’t need first as you don’t need to back these up.

1. Firstly, create a new folder on your computer somewhere called ‘Email Backup’
2. Open your Windows Live Mail program.
3. At the top left you will see a little pane with a drop-down arrow next to it. Click it. Go to Export Email > Email
Messages. If it offers a choice in the ‘Select Program’ window, choose ‘Microsoft Windows Live Mail’ > Next.
Then it will prompt you to browse for a folder to store them in. Just use the ‘browse’ button to find the folder you
created earlier called ‘Email Backup’ and click ok.
4. Select Folders Window – ‘All Folders’ should be chosen by default so just click Next. The program will then
export all the data to a single file.  That’s it!

Keep the file safe somewhere other than on the device you have just backed up so in the event of catastrophe, you can quickly restore all of your email data.

Restore your Outlook 2010 from a Back Up File (.pst)

To restore your mail, contacts and other data from a backup copy of an Outlook PST file:

1. Select File | Import and Export… from the menu in Outlook.
2. Select Import from another program or file.
3. Click Next.
4. Highlight Personal Folder File (PST).
5. Click Next again.
6. Now use the Browse button to select the backup copy of the PST file you want to recover from your backup location.
7. Make sure Replace duplicates with items imported is selected.
8. Click Next.
9. Finish the import process with Finish.

How to Back Up your Outlook Email Program

1.  Open your Outlook

2.  Choose File > Options > Advanced > Export

3.  Choose ‘Export to File’

4.  Choose ‘Outlook Data File.pst’

5. Select the Whole Mailbox which is the very top icon and click Finish.

6.  If a box appears asking for a password, just leave blank and click OK.

7.  Save the file to your computer – Call it something memorable and store in a folder you can retrieve easily if required.

 

Its a good idea to perform this routine at least once a month so you can retrieve your files should anything untoward happen.

How to Change your Outlook Settings

1. Open up Outlook
2. Click the ‘File’ tab (top left)
3. Click ‘Account Settings’
4. Highlight your email address (centre screen) and click the ‘Change’ icon
5. Where it says ‘Server Information’ update the following:

Account Type: POP3
Incoming Mail Server: pop3.yourdomain.co.uk
Outgoing Mail Server: smtp.yourdomain.co.uk

Logon Information

Username: xxx@yourdomain.co.uk
password: xxxxxx

Make sure the Remember password box is ticked.

6. To the right, click the ‘More Settings’ tab and ‘Outgoing Server’ tab.
The authentication box needs to be ticked and the next option ‘Use same settings as incoming mail server’

7. Now click the ‘Advanced’ tab – This screen shows the server port numbers. Change where required:

Incoming Mail Server (pop3): 110

Leave the box underneath UNCHECKED

Outgoing Server (smtp): 25025

You should not need to amend anything else so click OK. This will bring you back to the Email settings screen.

8. You can choose the ‘Test Account Settings’ button if you wish and the system will send and receive to check everything is operational.

9. Finish. Your Outlook is now configured.

 

POP3 Email Set Up Instructions for Outlook

1. Open Microsoft Outlook

2. Click on Tools > Email Accounts …

3. Click the Add a New Email Account radio button, then ‘next’ …

4. Click the POP3 radio button, then ‘next’ …

5. Internet Email Settings – Replace the parts shown in the example (in red) with the account information Websorceress has provided you with then click ‘More Settings’ …

6. Check the “My outgoing server (SMTP) requires authentication” checkbox and click OK…

7. Click the ‘test account settings’ button to send and receive an email message …

Click ‘close’ if ok or if an error message appears, check your settings in Step 5

9. Email settings completed, click ‘finish’…

10. Email Accounts List, click ‘Finish’
